4. What marketing communications do we send?
Communications with Businesses
We process your data within the scope of an existing business relationship with you or your company because:
- We have a contract with you (or are considering entering into a contract with you). In this case, the bulk of the personal information we collect and use for marketing purposes relates to individual employees of our clients and other companies with which we have an existing business relationship; or
- It is in our legitimate interests for the conduct of our business activities (for example, to communicate with you in a 'business to business' capacity in order to promote our products and services that we believe will be of interest to you or your company). In that regard, we may also obtain contact information from public sources, including content made public at social media websites, to make an initial contact with a relevant individual at a client or other company; or
- You consented to receive our marketing communications via email as an individual at our client companies. In this case, we will send you marketing communications to develop or maintain a business relationship in accordance with applicable electronic and marketing communications laws. These communications may include web beacons, cookies, and similar technologies that allow us to know whether you open, read, or delete the message, and links that you may click on.
- We will usually offer you a tick box on the forms we use to collect your personal information. If you agree to receive the communications, you must click the box.
How to unsubscribe?
In any case where we send marketing communications to you via email, you may opt out of receiving any further marketing communications by clicking the ‘unsubscribe’ or ‘opt-out’ link in the email.
In addition, you can also exercise your opt-out right at any time by contacting us here (please indicate the marketing communications you would like to opt out of receiving in the Request Details field).
5. How do we collect your personal information? The personal information we collect about you comes from contact forms or other materials you submit to us, your interactions with us and others as part of your business relationship with us. Depending on the relevant circumstances and applicable local laws and requirements, we may collect some of the information listed in section 2 when you provide us with your business card, talk to us at a conference or other event, or if you are a customer or prospective customer.
In some cases, we will also collect personal information indirectly from third parties, or from publicly available sources in accordance with applicable law.
6. Do we use artificial intelligence?
As part of our commitment to delivering innovative and efficient solutions, we utilize machine learning and deep learning artificial intelligence (AI) technologies, such as generative AI, in our relationship with Clients and Prospects. These technologies enable us to digitize, automate and enhance a wide range of processes associated with the services we provide.
Third party management
In most cases, we use AI solutions or Large Language Models such as Llama and GPT provided by third parties, such as Microsoft, Google or OpenAI. In order to ensure the security, confidentiality, and proper handling of information, we carefully assess such providers prior to their selection, verifying that they comply with applicable legal, ethical and security standards to protect your personal data. Likewise, we enter into specific contractual clauses regarding liability, aimed at protecting your personal data and data rights and ensuring compliance with current AI, data protection and consumer regulations.
Responsibility CommitmentOur Company is committed to the responsible use of innovative technologies. Read our Responsible AI Principles here. We do not use these technologies as a substitute for people or for human interaction at any stage of our processes. Our use of these technologies is intended to facilitate interactions with our Clients and Prospects in a manner that is more convenient and efficient.
While we do use AI systems, all decisions that may affect you are made by our trained employees. If, in exceptional cases, we were to make such decisions based on a fully automated process (that is, without human involvement), we would only do so where permitted by law and after notifying you in advance.
We take measures to prevent bias in the use of these technologies and ensure that all users are treated fairly. For example:
a. Human Oversight: We review the AI systems before, during and after the go-live date to ensure they operate fairly and effectively. Any anomalies or biases identified are promptly addressed to maintain the integrity of our processes.
b. Testing: All AI systems used are subject to regular testing and audits to minimize bias and ensure fairness. We commit to complying with anti-discrimination laws and implementing technical and organizational measures to mitigate risks of unfair treatment or bias.
c. Data and Quality Management: Our data scientists apply consistent data controls and guardrails to ensure that our data sets are clean and consistent from the outset and monitored throughout the lifecycle of our AI systems.
d. Security: We apply state-of-the-art security controls to our data storage and AI systems to prevent unauthorized access to or tampering with our data sets.
In any instance where you receive a service that involves the use of artificial intelligence, you will be provided with a separate transparency notice detailing information about the algorithm and its use.
Below, you can find information about the systems that the Company offers you:
TranscriptionWe use Artificial Intelligence to update the information we have about you in our systems. When you contact us, the call may be transcribed into text, and an AI model may use that transcript to update certain information about you in our systems. This is saved as a summary in your file that does not include any assessments but simply outlines the points that are useful for our relationship. Similarly, the AI system does not intervene in the decision-making process beyond updating your information. Therefore, it is an administrative process that reduces the time our employees spend updating databases, without any real impact on your data processing.
The process is divided into two parts. On the one hand, we use Speech to Text to transcribe the call into text in real time. This is a machine learning (ML) solution provided by Microsoft Azure. On the other hand, we use Salesforce's Einstein AI, based on a Large Language Model (LLM), to summarize that transcription. Once the transcription is complete, the AI model locates your file in the system and generates a summary with the most relevant points.
How long is the transcript kept?
Once the system finds your file, it will generate the transcript and summary, deleting the transcription within one (1) day and storing the summary for the retention period indicated in the third section of this Policy.
Does the system store voice or any biometric data?
No. The transcription process does not store your voice or any other biometric data that may be generated during the call or meeting. All the information generated is limited to what is necessary for our relationship.
What security and privacy measures have been implemented?
In addition to all the measures mentioned above in this section, we have trained our employees to inform you and protect your rights during the communication process. You can object to the processing during the call or meeting, as well as exercise the rights you deem appropriate through the channels provided in this Policy. Additionally, the providers involved in this process have signed confidentiality and privacy agreements with us, so that the AI models involved are not trained with your personal information.
7. Do we share your data with third parties?
To facilitate our efficient use of your information and to provide you with the content, resources and services, we disclose your information to third parties. We do this in the following circumstances:
