Client Description:

Our client is a Luxembourg-based company that holds investments in real estate, infrastructure, private equity and listed securities. You will be a part of an international, well-reputed, and growing firm within a human-sized team. 

Your role will be to provide administrative and secretarial support to the Legal, Tax and Corporate Governance team, including preparation of external/internal correspondence. In addition, you will be responsible for supporting the teams to provide effective and thorough secretarial support with considerable use of tact, diplomacy, discretion and judgment.

  • Assisting the Corporate Governance/ Legal & Tax team with collecting signatures and execution of contracts, board minutes, shareholder resolutions, tax-related documentation, delegations of powers
  • Handling of soft and hard copies of all corporate documentation
  • Keeping the companies records up to date in Registre du Commerce et des Sociétés and Registre des bénéficiaires effectifs 
  • Assisting the legal team with liaising with Directors and document execution
  • Standard secretarial work, including document production 
  • Proactively contribute to the team's success by actively seeking to improve and facilitate working processes
  • Assisting associates/senior associates when preparing for periodic board meetings, convening the meetings
  • Handling the mail and all internal and external legal correspondence
  • Handling KYC/AML requests, completing bank forms

Candidate Profile:

  • Mandatory experience of at least 2 - 3 years in a Luxembourg law firm or a similar working environment
  • Fluent level in English and French, written and spoken. Any other language is a plus
  • Experience with legal and corporate terminology and documentation
  • Good proofreading and writing skills
  • Excellent attention to detail
  • Reliable, well organized, not afraid to take initiatives
  • Multitasking, ability to prioritize and to work under time pressure
  • Strong team player with excellent communication skills
